User rights¶
QuickBooks Complete user rights let monday admins control what each user can do for each QuickBooks company.
Rights are managed separately for each company, so a user can have full access to one company, read-only access to another, and no access to a third.
Who can manage rights¶
Only monday admins can view and change user rights.
A monday admin always has full access to every QuickBooks company in the app. This includes connection management, sync management, automation setup, data viewing, and supported editing features.
Admin access is based on the user’s monday admin status, so changing the rights shown for a monday admin does not reduce that admin’s effective access.
How rights work¶
Rights apply to monday users in your account.
Non-admin users must be granted rights before they can use company-specific features in QuickBooks Complete. If a non-admin user has no rights for a QuickBooks company, they will see an access-needed state instead of that company’s data or controls.
These rights control features inside QuickBooks Complete, such as screens that show live QuickBooks data or let users create and edit supported QuickBooks records from monday. If you sync QuickBooks data into monday boards, use monday’s own board permissions to control who can see or change those boards. QuickBooks Complete does not control access to monday boards after synced data is in monday.
Rights you can grant¶
Manage connections¶
Allows the user to connect, reconnect, disconnect, or remove a QuickBooks company, and to link or unlink monday boards used by the app.
Manage sync¶
Allows the user to trigger manual syncs, run re-syncs, and update sync counts shown in the app.
View QuickBooks data¶
Allows the user to view specific kinds of QuickBooks data for a company.
View rights are separate by data type. For example, a user may be allowed to view customers but not invoices, or invoices but not vendors.
Edit QuickBooks data¶
Allows the user to create or update supported QuickBooks records from monday.
Edit rights are also separate by entity type. For example, a user may be allowed to edit customers but not invoices.
Editing rights apply to the supported edit flows in QuickBooks Complete, such as the live item view and supported create-from-monday flows.
Attachments follow the same view or edit right as the related QuickBooks record.
Manage automations¶
Allows the user to create, update, or remove AutoCreate configurations for a QuickBooks company.
This right is separate from ordinary data viewing and editing rights.
Use financial widgets¶
Allows the user to view QuickBooks Complete dashboard widgets for a company, such as accounts receivable, accounts payable, and account balance widgets.
Configure financial widgets¶
Allows the user to choose widget settings for a company, such as the company or account shown by a dashboard widget.
This right also allows the user to use financial widgets.
Inactive or deleted users¶
Users may still appear in the rights screen if they were previously seen in your monday account.
Rights for inactive or deleted users do not need special cleanup. If a user no longer has access to your monday account, they cannot use the app through monday. If they return later, a monday admin can review or change their rights.
