Monitoring

QuickBooks Complete provides connection-level status and two activity feeds for checking what the app has done. Use these views to answer different questions:

  • Connections shows whether each board is linked and current.
  • Activity shows account and board operations.
  • Sync Activity shows changes to individual QuickBooks records.

The feeds show only QuickBooks companies the current user is allowed to access. monday admins can monitor all companies in the account.

Monitor connections and board sync

Open the Connections tab in the QuickBooks Complete control panel. Each QuickBooks data type has a row with these monitoring fields:

  • Sync status shows setup progress, current synchronization, or an error that needs attention.
  • Count in QuickBooks is the most recently collected record count from QuickBooks.
  • Synced to monday counts the QuickBooks records currently mapped to monday items. Items created directly on the board are not included.
  • Automation mappings counts mapping configurations for that company and data type.
  • Attach date shows when the board was linked.
  • Updated as of shows how recently the linked board was updated.

After a company is connected, QuickBooks Complete continues gathering record counts in the background. You can start working before every Count in QuickBooks total appears; the remaining totals fill in automatically.

The two record counts do not always match while a sync is running. They can also differ when the board uses a Sync from date or when records are outside the configured sync scope.

Use Update counts from the QuickBooks company menu to request fresh QuickBooks counts. This refreshes the displayed totals; it does not re-sync board data.

Request a full re-sync

A full re-sync reads the configured QuickBooks data again and restores mapped board values. It is useful when board data was accidentally deleted or damaged.

  1. Open Connections.
  2. Open the action menu for the linked board.
  3. Select Resync All.

The operation can take about as long as the initial sync and updates the Sync status as it progresses. It respects the board’s configured historical date scope.

The Manage sync right is required to update counts or request a full re-sync.

Activity

The Activity tab shows account and board operations from the last 60 days, up to 100 entries. It can include:

  • Connecting, disconnecting, or removing a QuickBooks company.
  • Creating and linking a board, relinking an existing board, or unlinking a board.
  • Columns added by automatic board reconciliation.
  • Initial syncs, manual re-syncs, automatic re-syncs after board updates, and support-initiated re-syncs.
  • The monday user who requested an operation, when applicable.

Board names link to active boards when a link is available. Automated operations may not have a user name.

Use Activity when the question is about setup or administration, such as who linked a board or when QuickBooks Complete added a supported column.

Sync Activity

The Sync Activity tab shows changes to individual QuickBooks records from the last seven days, up to 100 entries. Each row identifies:

  • QuickBooks company and data type.
  • Record name or ID.
  • Action performed.
  • Direction: QuickBooks → monday or monday → QuickBooks.
  • Related monday board and item, when available.

Use Sync Activity when the question is about a particular customer, invoice, bill, or other record. For example, it can confirm that a QuickBooks update reached monday or that an automation created a QuickBooks record.

Troubleshooting order

When data appears out of date:

  1. Confirm that the QuickBooks company is connected.
  2. Check the row’s Sync status and Updated as of value.
  3. Use Sync Activity to look for the affected record.
  4. Use Activity to look for board, column, or full-resync operations.
  5. Request Resync All if the linked board needs to be restored from QuickBooks.
