Item views¶
QuickBooks Complete includes item views for working with QuickBooks information inside monday item pages.
The app has two item views:
- QuickBooks Customer Status works on any board that contains a QuickBooks customer name.
- QuickBooks Data Editing works on boards that are synced by QuickBooks Complete.
QuickBooks customer status¶
The QuickBooks Customer Status item view lets you open a monday item and see live QuickBooks context for the customer named on that item.
It is designed for ordinary monday boards, not only boards created by QuickBooks Complete sync. For example, you can use it on a sales, onboarding, service, project, collections, or account-management board as long as the item has a field containing the QuickBooks customer display name.
The item view shows:
- The matched QuickBooks customer and whether the customer is active.
- Open balance.
- Open invoice count.
- A link to open the customer in QuickBooks.
- Open invoices.
- Recent invoices.
- Recent estimates.
- Recent payments.
Invoice and estimate rows may include links back to QuickBooks.
Add customer status to a board¶
Add QuickBooks Customer Status from the normal monday.com item view controls on the board where you want to use it.
After it is added, open any item and select the QuickBooks Customer Status tab.
The item view needs:
- A QuickBooks company.
- A monday item field containing the QuickBooks customer display name.
- QuickBooks Complete rights that allow the user to view customers for that company.
Choose the customer name field¶
The item view looks up a QuickBooks customer by display name.
By default, it tries to use a likely customer-name field on the board. If needed, choose a different field from the Customer name column control inside the item view.
You can choose the item name or a text column. The selected field is saved for that item view instance, so the board can keep using the same customer-name source.
The name match is exact after basic whitespace cleanup. If no QuickBooks customer matches, or if more than one customer matches, the item view shows a message instead of choosing a customer silently. Update the monday item value or choose a more specific customer-name field, then use Re-read or refresh the item view.
Works without synced boards¶
Customer status is independent from QuickBooks Complete sync mappings.
You do not need to sync Customers, Invoices, Estimates, or Payments into monday before using this item view. The item view reads the relevant QuickBooks data live when the monday item is opened.
This makes it useful for boards your team already uses. For example, a project board can show the customer’s current QuickBooks status without turning that project board into a synced QuickBooks board.
Permissions¶
QuickBooks Complete user rights apply separately for each QuickBooks company.
To use QuickBooks Customer Status, a non-admin monday user needs the customer view right for that QuickBooks company.
If the item view shows an access message, ask a monday admin to review the user’s QuickBooks Complete rights for the company.
Choose the right item view¶
Use QuickBooks Customer Status when any board item mentions a customer and you want QuickBooks context for that customer.
Use QuickBooks Data Editing when you want to view or edit the live QuickBooks record behind a synced monday item. That item view is documented on Editing QuickBooks data from monday.
